TN Crafter’s Market – Organizer Cancellation Policy
TN Crafter’s Market is dedicated to hosting safe, enjoyable, and well-organized community events. However, there may be circumstances where an event must be postponed, modified, or canceled by the organizer. The following policy outlines how TN Crafter’s Market handles these situations and what Vendors and Sponsors can expect in the event of organizer-initiated changes.
I. Full Event Cancellation
TN Crafter’s Market reserves the right to cancel an event if circumstances arise that make it unsafe, impractical, or impossible to proceed. Such circumstances may include, but are not limited to:
- Venue closure or loss of access
- Severe weather or dangerous environmental conditions
- Public safety concerns
- Staff emergencies
- Insufficient vendor participation to support a viable market
- Government or municipal restrictions
- Threats or emergencies impacting community safety
What Vendors and Sponsors Receive
If TN Crafter’s Market fully cancels an event:
Participants may choose one (1) of the following:
- A full refund of fees paid, or
- A credit/rollover toward a future TN Crafter’s Market event of comparable size
Refunds or credits apply only to booth or sponsorship fees paid to TN Crafter’s Market.
Non-refundable third-party costs (travel, lodging, materials, permits, etc.) are the responsibility of the Vendor or Sponsor.
II. Event Rescheduling
If an event must be rescheduled due to weather, venue conflicts, or other unforeseen circumstances:
- All Vendor and Sponsor registrations will automatically transfer to the new date.
- TN Crafter’s Market will notify all participants via email and public announcement.
If a Vendor or Sponsor Cannot Attend the New Date
Participants may choose:
- A credit toward any future TN Crafter’s Market event, or
- A refund, in accordance with the event’s Refund Policy
III. Partial Cancellations & Modifications
TN Crafter’s Market may need to adjust event operations for reasons including, but not limited to:
- Loss of outdoor or indoor event space
- Hazardous weather affecting only part of the venue
- Venue-imposed restrictions on electricity, parking, or layout
- Changes to event hours
- Safety-driven modifications
How This Is Handled
TN Crafter’s Market will:
- Communicate any major changes promptly
- Make reasonable efforts to adjust booth layouts fairly
- Prioritize participant safety and event quality
Because expenses are often already committed, partial event adjustments do not automatically qualify for refunds, but credits may be offered at the organizer’s discretion depending on the extent of the modification.
IV. Force Majeure Clause
TN Crafter’s Market is not responsible for cancellations or changes caused by circumstances outside of its control, including but not limited to:
- Severe weather
- Natural disasters
- Emergency evacuations
- Widespread power outages
- Civil disruptions
- Public health emergencies
- Government or venue mandates
In These Situations
TN Crafter’s Market will make every effort to:
- Reschedule the event, or
- Offer credits or reasonable accommodations
Refunds may or may not be available depending on expenses already incurred and the overall situation.
V. Communication & Notification Procedure
In the event of organizer-initiated cancellations or major changes:
- Participants will be notified by email, social media, and/or website announcements.
- TN Crafter’s Market will provide updates as soon as new information becomes available.
- Affected participants will receive instructions regarding refunds, credits, or next steps within a reasonable time frame.
VI. Acceptance of Organizer Cancellation Policy
By applying to participate in any TN Crafter’s Market event, Vendors and Sponsors acknowledge and agree to this Organizer Cancellation Policy, including all provisions regarding refunds, credits, and event modifications.
