Official Food Vendor Guidelines

Food vendors help bring the energy, flavor, and excitement that make an event truly memorable! To ensure a smooth, safe, and successful experience for everyone, all food vendors must follow the guidelines below. By participating, you agree to uphold these policies throughout the event.
🧾 1. Application & Approval
Food vendors must submit a Food Vendor Application and receive official approval before attending the event.
Space is limited, and selection is based on menu variety, quality, and best fit for the market.
Food vendors may be required to provide:
- A copy of any required health department permits (if applicable)
- A list of all menu items to be sold
- Proof of insurance (if required for specific food operations)
📏 2. Booth Space & Fees
Booth Sizes
- $75 for any food vendor
Space Requirements
Food vendors must:
- Stay within their assigned space
- Not block walkways or adjacent vendor areas
- Ensure all equipment is stable, safe, and properly secured
Additional space may be required for trailers, smokers, or grills.
🔌🔥 3. Equipment & Power
- No electricity is provided outdoors for food vendors — all must be self-sufficient unless operating indoors by special approval.
- Generators are allowed but must be:
- Quiet-running
- Positioned safely away from crowds
- Free from fuel leaks or excessive fumes
Vendors using grills, fryers, smokers, or hot equipment must maintain strict fire safety practices.
🚿 4. Health & Safety Requirements
Food vendors must follow all applicable:
- Tennessee Health Department regulations
- Food handling and preparation standards
- Fire safety and heat management requirements
Vendors must have:
- Gloves
- Handwashing station (if required)
- Proper food storage to maintain safe temperatures
- Clean and sanitary prep areas
Event organizers may inspect food setups and request changes for safety or compliance.
🗑️ 5. Waste Disposal & Cleanup
Food vendors must:
- Keep their area clean at all times
- Properly dispose of all grease, charcoal, and food waste
- Bring their own waste containers if needed
- Leave their area cleaner than they found it
⛔ Grease dumping or leaving food waste behind is grounds for an immediate ban from all future events.
🌦️ 6. Weather Policy
Outdoor food vendors follow the same weather policy as all vendors:
- If conditions are unsafe, the event will be rescheduled one month out
- Vendors unable to attend the new date will receive credit for the next event (not a refund)
🎟️ 7. Sales & Menu Items
All food vendors must sell only the menu items approved in their application.
Prohibited:
- Alcohol sales (unless pre-approved with proper permits)
- CBD or hemp consumable products
- Items considered unsafe, unlicensed, or noncompliant with regulations
Menu changes must be approved before the event.
🤝 8. Professional Conduct
Food vendors must:
- Be friendly, courteous, and respectful
- Maintain a clean, organized, and professional booth/truck
- Serve customers efficiently to avoid long delays
- Ensure music/noise from equipment is controlled
Rude or disruptive behavior may result in removal from the event and future bans.
🐾 9. Pet Safety
Since pets are allowed at the event:
- All food areas must be secured to prevent interference
- Food vendors may politely remind customers to keep pets back from prep areas
🚗 10. Parking & Setup
- Food vendors must arrive early enough to fully set up before opening
- Trucks/trailers must be parked per staff instructions
- Generators, propane tanks, or other equipment must be placed safely
Parking volunteers will direct traffic and placement.
💵 11. Payment & Refund Policy
- Payment is due at the time of application.
- Vendor fees are refundable for up to 14 days after the date of application OR until 30 days before the event, whichever comes first.
- After this point, all vendor fees become non-refundable for any reason, including schedule changes, personal conflicts, or unforeseen circumstances.
- This policy ensures fair opportunities for all vendors while allowing TN Crafter’s Market to finalize layouts, promotions, and event logistics in a timely manner.
📉 12. Attendance & Sales Disclaimer
TN Crafters Market promotes the event extensively, but sales and foot-traffic are not guaranteed.
By participating, food vendors acknowledge:
- Attendance can vary
- Sales may be impacted by weather, competition, or outside factors
- TN Crafters Market is not responsible for low sales or turnout
