Official Vendor Guidelines

Welcome to the Spring Fling Crafter’s Market — a blossoming celebration of creativity, community, and handcrafted excellence. These guidelines ensure a smooth, professional, and enjoyable experience for our vendors, customers, and staff. By participating, all vendors agree to abide by the following policies.
🌷 1. Event Schedule & Expectations
- Set-Up: 9:00 AM
- Event Hours: Tentative Date April 25,2026
- Teardown: Begins at 4:00 PM — No early teardown without prior approval.
⛔ Early Teardown Policy
Unauthorized early teardown disrupts the event and negatively impacts the experience for all.
- Early teardown is permitted only with advance approval from the event organizer.
- Vendors who tear down without approval may be banned from future TN Crafters Market events.
🏬 2. Indoor & Outdoor Booth Placement
Our event features both indoor and outdoor spaces. Vendors are placed according to product type, electricity needs, and overall event flow.
Booth Sizes & Fees
- 10×10 — $50
- 10×20 — $75
Payment & Refund Policy
- Payment is due at the time of application.
- Vendor fees are refundable for up to 14 days after the date of application OR until 30 days before the event, whichever comes first.
- After this point, all vendor fees become non-refundable for any reason, including schedule changes, personal conflicts, or unforeseen circumstances.
- This policy ensures fair opportunities for all vendors while allowing TN Crafter’s Market to finalize layouts, promotions, and event logistics in a timely manner.
🛠️ 3. Vendor Responsibilities
To keep the event visually cohesive and professionally polished, all vendors are responsible for providing their own:
- Tents
- Tables
- Chairs
- Displays
- Signage
- Booth décor
Outdoor Vendor Requirements
- Tent weights are strongly encouraged for safety.
- In windy or unstable conditions, weighted tents may become mandatory at the organizer’s discretion.
🛍️ 4. Approved & Prohibited Products
Handcrafted items are preferred, though select resale vendors may be accepted if products complement the event’s aesthetic.
Prohibited Items
The following items are not permitted:
- CBD or hemp-derived consumables
- Adult or explicit content
- Weapons (decorative or functional)
- Any item deemed unsafe, inappropriate, or inconsistent with event values
Organizers hold full discretion to require removal of any product that does not meet event standards.
🔌 5. Venue Amenities
- Electricity: Available to indoor booth vendors only
- Restrooms: Accessible for all vendors
- Parking: Convenient onsite or nearby options
Vendors needing power should bring their own cords, strips, and adapters.
🌦️ 6. Weather Policy & Rain Date
Because the event includes outdoor spaces:
Rain on Event Day
- Outdoor vendors may choose to remain on site if conditions are safe.
- If conditions become dangerous, outdoor activities will be paused and the market will be rescheduled for one month later.
If You Cannot Attend the Rain Date
- You will receive a credit for the following event.
- Weather rescheduling does not qualify for refunds.
Safety and hazard prevention are our top priorities.
🤝 7. Vendor Conduct & Professional Expectations
TN Crafters Market is committed to maintaining a warm, welcoming, and respectful environment.
Behavior Expectations
Vendors are expected to:
- Be friendly, courteous, and professional
- Treat customers, fellow vendors, and staff with respect
- Address any conflicts calmly and privately
- Follow staff instructions promptly and fully
Disruptive, aggressive, or unprofessional behavior may result in removal and/or banning from future events.
🎨 8. Booth Presentation Standards
Your booth represents your brand. Make it inviting and attractive.
Vendors must:
- Keep booths clean, organized, and safe
- Maintain clear signage and pricing
- Ensure pathways remain unobstructed
- Keep personal items neatly stored
- Optionally decorate with the Spring Fling theme
- Play only soft, booth-contained music
A visually appealing display helps elevate the entire market experience.
🚭 9. Smoking, Vaping, & Breaks
Smoking and vaping must occur at least 50 feet away from all vendor booths and customer areas.
Breaks should be kept minimal to ensure booths remain staffed and welcoming.
🗑️ 10. Clean-Up Requirements
All vendors must leave their space cleaner than they found it.
This includes removing trash, packaging, zip ties, décor remnants, and any materials brought in.
⛔ Clean-Up Enforcement
Vendors who leave behind debris or fail to clean their area may be banned from future TN Crafters Market events.
🚫 11. No-Show Policy
A vendor who fails to show up without communication:
- Forfeits all fees
- May be permanently removed from future TN Crafters Market opportunities
Emergency situations are understandable — please notify us as soon as possible.
🍔 12. Food Vendors
Food vendors are currently being reviewed. Additional health, licensing, and equipment guidelines may apply. Approved food vendors will receive a supplemental info sheet.
📉 13. Attendance Disclaimer & Sales Liability Policy
TN Crafters Market puts significant effort into advertising and promoting each event. However, vendors must understand that:
- We do not guarantee any number of attendees
- We cannot guarantee sales or financial outcomes
- We are not responsible for low customer turnout or lack of vendor sales
Attendance can be influenced by weather, competing events, community factors, and other circumstances outside the organizers’ control.
Vendor fees cover the cost of planning, staffing, and hosting the event — not guaranteed profit or sales performance.
By participating, all vendors acknowledge these terms.
